Author Presentation Instructions

Preparing for your Presentation

We expect your final presentation to be uploaded in EDAS by August 1, 2025. Should you have updates after that date please email your presentation to the Conference Organizer ( Jessie Reisman at jreisman@conferencecatalysts.com ). We expect your final paper as well as your signed and submitted Copyright Release to be uploaded in EDAS by August 15, 2025.

All accepted papers are expected to be presented. If the primary presenter identified in EDAS is not able to attend due to extenuating circumstances, the paper will be removed from the program.

ANY PAPER NOT PRESENTED AT THE CONFERENCE WILL NOT BE INCLUDED IN THE OFFICIAL PROCEEDINGS POSTED TO IEEE XPLORE.

Please be prepared to make your presentation before you are scheduled to present. PRACTICE, PRACTICE, PRACTICE. Taking the time to practice making your oral presentation is highly recommended. Consider asking a colleague to judge your presentation, delivery, clarity of language, and use of time.

Presentation Preparation

You shall prepare your oral presentation to take a minimum of 10 minutes and take no longer than 15 minutes. Your presentation should be clearly structured and should contain the essential elements of the accepted formal paper. Include such content as the problem, the background, the innovative approach, the new results and any comparative evaluation that you wish to present.

Prepare a reasonable number of PowerPoint slides, so as not to exceed the allotted time. Typically, one (1) Slide is presented in one (1) 1 minute. You may create additional slides as backup slides to support possible answers to attendees’ questions if you desire.

Put your material in a context that the audience can relate to. It’s a good idea to aim your presentation to an audience of colleagues who are not familiar with your research area. Your objective is to communicate an appreciation of the importance of your work, not just to lay the results out.

Keep it Simple. Slides should not be overcrowded by text and graphics. Too much text should be avoided. Slides should support the presentation; they should not be simply read by the presenter. Less is more.

Graphics help in communications, are more understandable, and point out the basic ideas. Use large fonts so that they are readable without efforts: typically, 20-point font should be used.

Always preview your presentation. You will look foolish if symbols and Greek letters that looked OK in a Microsoft Word document didn’t translate into anything readable in PowerPoint.

Please remember that this is a technical presentation and not a “marketing pitch”.

Try not to deliver a 30-minute talk in the 10 to 15 minutes you are allotted. Nothing irritates an audience more than a rushed presentation. Your objective is to engage the audience and have them understand your message. Don’t flood them with more than they can absorb. This means:

  • Present only as much material as can reasonably fit into the time allotted.
  • Talk at a pace that everybody in the audience can understand. Speak slowly, clearly, and loudly, especially if your English is heavily accented.
  • Balance the amount of material you present with a reasonable pace of presentation. If you feel rushed when you practice, then you have too much material. Budget your time to take a minute or two less than your maximum allotment. Again, less is more.

What will (and will not) be available for your presentation

Prepare your oral presentation assuming the following equipment and software will be available in the room where you will be scheduled to present:

  • A Conference Laptop (with the Windows 10 operating system) and LCD projector.
  • Microsoft PowerPoint.
  • Slides in Acrobat Portable Document Format (pdf) are also acceptable but not preferred.
  • Internet Access will not be available.
  • Inserted Video in your presentation is not preferred. Embedded videos have been known to not play properly so please keep this in mind.

Your presentation will be placed on the Conference Laptop on the day of your Session by the AUTOTESTCON 2025 Conference organizers.

Your Scheduled Session at the Conference

The Conference has a Dress Code. This Dress Code is described in the Conference Program you will receive when you check-in at Registration. The Dress Code is also posted on the AUTOTESTCON 2025 web site.

Please prepare and bring with you a brief introduction of yourself (printed on paper in English) to give to your Session Chair. The Session Chair will use this to introduce you to the audience.

Please prepare for an additional 5 minutes for Question-and-Answer discussion with the attendees. Be prepared to address attendees’ questions regarding your presentation.
